Job Description & Responsibilities
We are seeking a diligent and motivated Accounts & Administration Executive to support our financial operations, reporting and administrative functions.
This role provides exposure to a regulated corporate services environment and Malta-flag shipping operations, making it ideal for a candidate seeking structured professional growth within a specialised sector.
The selected candidate will support the firm’s accounting processes, while ensuring operational efficiency across office functions. The role requires precision, discretion and the ability to operate within a driven environment.
Key responsibilities include:
Accounts Administration
• Maintain accurate accounting records and ensure timely posting of financial transactions
• Perform monthly bank, supplier and client reconciliations
• Assist in the preparation and submission of VAT returns and related compliance filings
• Support the preparation of management accounts and internal financial reports
• Assist in year-end reporting processes and coordinate with external auditors
• Prepare and submit FSS monthly and annual statutory reports
• Assist in accounts payable and receivable monitoring, including follow-ups where necessary
• Maintain structured and compliant financial record-keeping systems
• Support internal reporting processes aligned with regulatory and governance standards
Shipping & Yachting Administration
• Coordinate and process applications for STCW endorsements and Seaman’s Books for officer serving on Malta-flagged vessels
• Assist in the preparation and administration of crew payroll documentation
• Maintain accurate crew records and statutory documentation in line with flag-state requirements
• Liaise with relevant authorities and maritime service providers where required
Corporate & Office Coordination
• Liaise with Government Authorities, regulatory bodies, auditors and third-party service providers
• Provide administrative support for corporate and finance processes
• Support management with ad hoc financial, regulatory and operational tasks
• Ensure robust document management and filing systems (digital and physical)
• Contribute to the efficient day-to-day operation of the office
Qualifications required
Applicants must have an A‘ level qualification in Accounts (or equivalent).
Experience required
Applicants must have a minimum 2 years’ experience in an accounting or finance-related role.
The ideal candidate must:
• Have solid understanding of accounting principles
• Be proficient in Microsoft Office, particularly Excel
• Have experience with Sage and/or QuickBooks (will be considered an asset)
• Be able to work within regulated and deadline-driven environments
• Be currently resident in Malta
• Demonstrate high level of accuracy and attention to detail
• Have strong organisational and time-management skills
• Be able to handle confidential information with discretion
• Have professional communication skills (written and verbal)
• Be able to work independently and take initiative
• Be ethical, reliable and have a solutions-oriented mindset
• Be able to manage multiple priorities within a structured environment
